Terms of Service

Please read these Terms of Service ("Terms") carefully before using Report Flow (the "Service"). By creating an account, accepting a team invitation, or using the Service, you agree to be bound by these Terms.
1. Description of Service
Report Flow is a browser automation platform that lets authorized users define, schedule, and run automated workflows against web-based applications. Workflows execute via a local Windows agent installed on your machine. Downloaded files remain on your local device and are not transmitted to Report Flow servers.
The Service includes a cloud-based management interface hosted on Render, a PostgreSQL database hosted on Supabase, a local agent that runs on your Windows machine, and tools for managing user seats, billing, schedules, workflow recordings, and run logs.
2. Accounts and Access
- You must provide accurate information when creating an account or accepting a team invitation.
- You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.
- Accounts may be created via self-registration or by accepting an email invitation sent by an existing user on a qualifying subscription plan.
- Each account counts as one seat against your subscription's seat limit. Pending invitations also count against available seats.
- You must notify us immediately of any unauthorized use of your account.
3. Acceptable Use
You agree not to use the Service to:
- Violate any applicable law or regulation, or the terms of service of any third-party website or application you automate against.
- Gain unauthorized access to any system, network, or data.
- Automate actions that constitute fraud, harassment, or abuse.
- Resell or sublicense the Service without written permission.
- Reverse-engineer, decompile, or attempt to extract source code from the Service or local agent.
- Use the Service to send unsolicited communications or to circumvent security controls on third-party systems.
We reserve the right to suspend or terminate accounts that violate these restrictions.
4. Subscription Plans and Billing
- The Service is offered under Free and paid subscription plans (Solo, Team, and Department). Plan details, pricing, seat limits, workflow limits, and feature availability are described on the pricing page.
- Paid plans are billed through Stripe. By providing payment information you authorize us to charge the applicable fees on the billing cycle shown at checkout.
- When you downgrade your subscription plan mid-cycle, Stripe will calculate a prorated credit for the unused portion of your current billing period and apply it toward your next invoice.
- Downgrading to a lower plan requires that your current usage (number of workflows and user seats) falls within the limits of the target plan before the downgrade is processed.
- Subscription fees are non-refundable except where required by law or at our sole discretion.
- We may change plan pricing with reasonable notice. Continued use after a price change constitutes acceptance of the new price.
5. User Seats and Invitations
Subscription plans include a fixed number of user seats. Workspace users may invite colleagues by email up to the seat limit of their active plan. Invitation links expire after 7 days. Invitations may be revoked by the sender or by an administrator at any time before they are accepted. Adding user accounts beyond the seat limit of your current plan requires upgrading to a higher-tier plan.
6. Local Agent
The Report Flow Agent is a Windows application that runs on your local machine and executes workflow steps using a Playwright-controlled browser. By installing and running the agent you agree that:
- The agent will periodically send a heartbeat (timestamp and version number) to the Service to confirm it is online.
- The agent will report anonymous diagnostic telemetry events (such as unrecognized page elements or slow-loading frames) to help us improve reliability. No file contents, report data, or personally identifiable information is included in telemetry events.
- The agent may be updated automatically when a newer version is available in our storage repository.
7. Intellectual Property
The Service and its underlying technology are owned by the operator of Report Flow and are protected by copyright and other intellectual-property laws. You retain ownership of the workflow definitions, credentials, and data you store in the Service.
You grant us a limited license to store and process your data solely to provide the Service.
8. Availability and Modifications
We aim to keep the Service available but do not guarantee uninterrupted access. We may modify, suspend, or discontinue features at any time with reasonable notice where practicable. We are not liable for downtime caused by scheduled maintenance, third-party infrastructure failures (including Render, Supabase, or Stripe), or events outside our reasonable control.
9. Disclaimer of Warranties
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Service will be error-free or that automated workflows will execute without interruption.
10. Limitation of Liability
To the maximum extent permitted by applicable law, the operator of Report Flow shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, revenue, or business, arising out of or related to your use of the Service, even if advised of the possibility of such damages.
Our total liability to you for any claim arising from these Terms or your use of the Service shall not exceed the total fees you paid to us in the twelve months preceding the claim.
11. Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
12. Termination
Either party may terminate these Terms at any time. You may delete your account through the application or by contacting us. Upon termination, your right to use the Service ceases immediately. We may retain data as required by law or for legitimate business purposes for a reasonable period following termination. Active subscriptions should be cancelled through the billing portal before deleting your account to avoid further charges.
13. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the State of Arizona, United States, without regard to its conflict-of-law provisions.
14. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by updating the "Last updated" date above. Continued use of the Service after changes constitutes your acceptance of the revised Terms.
